We are looking for a friendly, organized, and dependable Assistant Office Coordinator to join our team. This position plays an important role in supporting the day-to-day operations of our office, assisting customers, and working closely with our sales and production teams to keep projects and daily activities organized and moving forward.
The ideal candidate enjoys working with people, thrives in a fast-paced environment, and is comfortable managing a variety of responsibilities throughout the day. This hands-on position combines administrative support, customer service, sales assistance, order coordination, and basic accounting. The Assistant Office Coordinator will also report directly to the Owner and provide administrative and operational support as needed.
Key Responsibilities:
• Answer incoming phone calls, greet customers, and provide friendly, professional customer service
• Manage the general office email inbox, respond to inquiries, and direct customers and requests to the appropriate team member
• Perform general administrative duties and maintain accurate customer, order, and project records
• Support the outside sales team with estimates, customer communication, project information, and follow-ups
• Assist with smaller sales opportunities by preparing quotes, processing orders, and coordinating customer needs
• Process estimates, orders, invoices, deposits, payments, purchase orders, and other basic accounting-related tasks
• Coordinate with customers and internal teams throughout the order process, including artwork, approvals, production, scheduling, pickup, and installation
• Assist with vendor communication, product research, pricing, and purchasing as needed
• Provide additional administrative and operational support to the Owner and team as requested

Previous experience in customer service, office administration, sales support, bookkeeping, printing, signage, or a related field is helpful but not required. We are willing to train the right person on our industry, products, software, and internal processes.

Compensation: $19.00 - $21.00 per hour
